Most party problems come from things nobody asked about before the deposit was paid. Take these questions to every event venue you contact, compare the answers side by side, and get the important ones in writing.
When to book: hosts usually book event venues and banquet halls about 3–6 months ahead (6–12 for big Saturday events). Saturday evenings and the holiday season (November–December) and graduation season (May–June) fill first.
The Questions
- Is our date available, and how long will you hold it before a deposit?
- What is the all-in price for our guest count, including service charge, tax and gratuity?
- What is the capacity seated, standing and with a dance floor?
- How many hours are included, including setup and cleanup time?
- Must we use your caterer or bar? Is there a fee for outside food, a cake or alcohol?
- Which tables, chairs, linens, AV and lighting are included?
- What are the noise, decoration and end-time rules?
- Is parking included, and is the space accessible for guests with disabilities?
- Do you require event insurance or a security deposit?
- What are the payment schedule and cancellation terms?
Tips
- Ask for a sample invoice for your exact guest count; service charges and tax can add 20–30%.
- Fridays, Sundays and weekday daytime slots are often cheaper than Saturday nights.
- Visit at the same time of day as your event to judge light, parking and noise.
Before You Pay a Deposit
- Get the date, start and end times, exact items or services, total price and payment schedule in writing.
- Read the cancellation, weather and rescheduling terms.
- Check that the business name on the contract matches the one you researched.
- Pay deposits by credit card where possible, for buyer protection.
