Work backward from the date. The venue and anything that can sell out (Saturday nights, December, graduation weekends) come first; decorations and favors come last. Use the interactive checklist to tick tasks off on your phone and print a day-of schedule.
3–6 Months Before
- Set a total budget and who is paying
- Draft the guest list and estimate the head count
- Pick two or three possible dates and times
- Tour and book the venue or party place
- Hire a planner or decorator, if you want one
- Book the caterer if the venue has no in-house food
6–8 Weeks Before
- Book rentals (tent, tables, chairs, linens, bounce house, photo booth)
- Book entertainment (DJ, performer, games)
- Send invitations or an online invite
- Order a custom cake or desserts
- Plan the menu and drinks
- Check permits for tents, amplified sound or park use
2–4 Weeks Before
- Buy decorations, tableware and favors
- Order custom balloons for pickup or delivery
- Write a run-of-show (timeline for the day)
- Make a seating or table plan if needed
- Line up helpers for setup and cleanup
- Plan for guests with allergies or accessibility needs
Final Week
- Confirm the final head count with the venue and caterer
- Confirm delivery and arrival times with every vendor
- Pay balances due before the day; put tips in envelopes
- Charge speakers, cameras and phones
- Pack an event kit (tape, scissors, lighter, wipes, first aid, chargers)
- Check the weather forecast and the rain plan
After the Party
- Return rentals on time and photograph their condition
- Pay any final invoices and settle the deposit
- Send thank-you notes
- Share photos with guests
- Note what worked for next time
Planning in Less Time
Pick a party place with an all-inclusive package, a venue with in-house catering and tables, or a weekday or Sunday slot. Book anything date-sensitive first, then the rest.
